How early should events be booked?

We book events up to one year in advance and usually give booking priority to returning groups wishing to hold the same date in the next year.  At the end of each event we will provide the opportunity to re-book their event the next year.  If a sponsor chooses not to re-book then the date will be made available.

​Plan on booking six months to a year in advance to have the best chance of getting the date you are looking for.

Refunds & Cancellations

REFUND POLICY
  • Individuals will not be refunded if paying/donating part of a larger bill for their school.
  • Money given as a gift separate from a specific event, or given through a fundraising service such as GoFundMe or KickStarter will not be refunded unless required by a specific services policy.
  • Schools and other sponsors will not be refunded after the service is provided unless the bill has been overpaid.  The amount paid in excess will be used as a credit towards the next event with the same sponsor, or paid back to the event sponsor at their discretion.
CANCELLATION POLICY
  • Cancellations which happen three months or more prior to an event will receive a full refund if prepaid and won't be billed.
  • If a sponsor cancels an event less than three months from the start of an event they will still be billed for 50% of the event's cost.  If the event was prepaid they will be refunded for 50% of the bill.  Failing to find enough volunteers or the necessary funds, competing with a sporting event, or miss typing the date onto a school calendar are examples of hardships which will fall under this 50% cancellation policy.  Please understand we are not likely to book an event within a three month window and will lose money if we don't charge to cover our expenses.  Thank you for understanding and double checking your calendar before signing event contracts.
  • What if a major event like poor weather (example snow or ice storms), the death of a key community/school staff member, or a school wide emergency (ex: lockdown) force the cancellation of an event?  In this case contact us and we will do our best to reschedule your event without any penalty.

Can I work for Glen's Gizmos?

It is our goal to continue serving both wealthy and underserved communities.  This means we try very hard to keep our services affordable to everyone. One of the ways we do this is by not hiring additional help and regularly utilizing volunteers in each community to run events.  As a result we aren't currently hiring and don't expect to be in the future, but thanks for asking.

How can I get the most for my money?

Our quotes are made on an individual basis and change based on what type of service is requested and traveling distance.  As a result here are some outside-the-box ideas to help you get the most for your money.
  • MULTIPLE ACTIVITIES IN THE SAME DAY:  Consider booking us earlier in the day for a few hours in classrooms as guest presenters, or extend your event duration.  After the first two hours the charge per event hour drops significantly.  While we don't recommend extending a Family Gizmo Night past two hours it may be a Gizmo Day at school rotating every class through to promote the evening would work well to generate interest.  Regardless if we travel to your school we will only charge the travel expenses once per day stretching your dollar further.
  • CONNECT WITH OTHER SPONSORS/SCHOOLS: Consider partnering with other schools in your area.  Having us run multiple events at different schools in one area over consecutive days can help drive the cost per event down.  Sometimes staying overnight in a hotel room is a lot cheaper for us than paying time and mileage when traveling a significant distance and we will pass this savings directly on to you.  OR another option is to partner with another school and run one event inviting volunteers and families from both schools.  Family Gizmo Nights work great this way.  We can even split the bill between the schools if needed.
  • DONATIONS AT THE DOOR:  It is a little known secret that Glen's Gizmos has the ability to accept payments at events from individuals.  In fact we do this to make Family Gizmo Nights more affordable to sponsor organizations.  It works like this.  If your event is going to cost $850 total including travel you will be required to pay half of this up front as a non-refundable deposit.  After that you can assign a volunteer at the event to staff a table at the entrance and collect donations from families in cash, checks made out directly to Glen's Gizmos, and credit/debit card payments which our handheld card reader can process directly for you.  The credit card reader is only able to work if the school has wireless internet or a good Verizon wireless connection.  These payments are not tax deductible as a service is being provided.   In the past we have recommended a $5 donation per person and up to $25 per family.  Generally we discourage having a mandatory payment at the door because it makes it difficult for some families to attend.  The event sponsor (ex: school) then pays the remainder of the bill. If more than the amount billed is given it will be saved as a credit for the next Glen's Gizmo event funded by the same sponsor or school.  Families need to know in advance about the payment at the door, be sure it goes out in the events publicity information.​

What is our photo and video use policy?

We do our best to share photos in a responsible way.  While it doesn't happen every time we try to have parent's sign permission forms at events and avoid using photos if a parent is concerned with our use of their family members in photos or videos.  Lower quality photos and videos not meant for downloading are sometimes shared in our albums or through other networks and formats.

Before sharing any photos or videos they are screened for individuals we know shouldn't be in them, modesty, appropriate language and gestures, unflattering images, etc.  However, occasionally we make a mistake.  If this is the case please simply contact us and let us know about your concern.  We can promptly edit or remove shared material.

In general, downloadable photos and videos are shared via a private, password protected link unique to each school or event.  If you would like this password please contact your school or event coordinator.  You can contact us if you'd like to know who to reach out to with your request and we will forward it, but we don't directly provide passwords since we don't know individual community members.
